Terms of Service

These Terms of Service (“Terms”) govern your use of Sy-nc, the software provided at sy-nc.app and sy-nc.co.uk (together, the “Service”). Sy-nc helps tradespeople and small businesses capture, organise, and respond to customer enquiries (“leads”). By creating an account or using the Service, you agree to these Terms.

1. Who these Terms are between

These Terms are an agreement between you (or the business you represent) and Sy-nc Workflows Limited. If you are using Sy-nc on behalf of a business, you confirm you have authority to accept these Terms for that business, and “you” means that business.

Sy-nc is a tool for business use. It is not intended for personal or household use, and it is not directed at children.

2. The Service

Sy-nc collects enquiries from the channels you choose to connect — such as your email inbox, your Facebook Page, your Instagram professional account, or a lead provider — and organises them as leads you can track, quote for, and book. Features vary by plan and may include AI assistance, quotes, calendar sync, reporting, and team access.

AI features are assistive only. Sy-nc may suggest which messages look like genuine enquiries and may draft suggested replies. These are suggestions: you decide what to send, and nothing is sent to your customers without your action. You are responsible for the content of anything you send.

We may add, change, or remove features over time. If we make a change that materially reduces the core functionality of a paid plan, we will tell you in advance.

3. Your account

You must provide accurate information when creating an account and keep your login details secure. You are responsible for activity that happens under your account, including anything done by team members you invite. Tell us promptly at hello@sy-nc.co.uk if you believe your account has been compromised.

4. Free trial, plans, and payment

Free trial. New accounts start with a 21-day free trial of our Organisation tier. No payment card is required. When the trial ends, your account moves automatically to our free Base plan — you are never charged automatically at the end of a trial.

Paid plans. If you choose a paid plan, subscription fees are billed in advance through our payment processor, Stripe, on the cycle shown at checkout. Prices are shown at the point of purchase and may include VAT where applicable.

Cancelling. You can cancel at any time from within the app. Your paid features continue until the end of the period you have already paid for, after which your account moves to the free Base plan. Except where required by law, we do not provide refunds for part-used periods.

Failed payments. If a payment fails we will let you know and allow a short grace period. If it remains unpaid, your account moves to the free Base plan. Your data is not deleted because of a failed payment.

Price changes. We will give you at least 30 days’ notice before any price increase affecting your plan, and you may cancel before it takes effect.

6. Your data

You keep ownership of the information you put into Sy-nc and the customer information we handle for you. We process it to provide the Service, as described in our Privacy Policy, which forms part of these Terms.

For customer data flowing through Sy-nc, you are generally the data controller and we act as your data processor. You are responsible for having a lawful basis to process the personal data you bring into the Service, and for meeting your own obligations to the people whose data it is.

You can export or delete your data at any time from within the app. Deleting your account permanently deletes your data as described in the Privacy Policy.

7. Connected third-party services

Sy-nc connects to services you choose — for example Google (Gmail and Calendar), Microsoft (Outlook), Meta (Facebook Pages and Instagram), Checkatrade, and Stripe. Those services are controlled by them, not by us, and your use of them remains subject to their own terms and policies.

You are responsible for having the right to connect the accounts, Pages, and inboxes you connect. We access only what is needed to provide the features described, and only while the connection is active. If a provider changes or withdraws access, some features may stop working; we will restore or replace them where we reasonably can.

8. Availability

We work to keep Sy-nc available and reliable, but we do not guarantee uninterrupted service. Access may be interrupted for maintenance, updates, or reasons beyond our control, including failures at the third-party services we depend on.

Sy-nc is a tool to help you manage enquiries; it is not a guarantee that every enquiry will be captured. Message delivery depends on the connected platforms. You remain responsible for monitoring your own channels for anything business-critical.

9. Our intellectual property

Sy-nc, including its software, design, branding, and content, belongs to Sy-nc Workflows Limited and is protected by intellectual-property law. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service while your account is active. They do not transfer any ownership to you.

If you send us feedback or suggestions, we may use them to improve the Service without obligation to you.

10. Suspension and termination

You may stop using Sy-nc and delete your account at any time. We may suspend or terminate your access if you breach these Terms, if required by law, or if continuing would create a security or legal risk — giving you notice and an opportunity to put things right where it is reasonable to do so.

If we terminate your account without cause, we will refund any pre-paid fees covering the period after termination.

11. Disclaimers

Except as expressly stated in these Terms, and to the fullest extent permitted by law, the Service is provided “as is” without warranties of any kind, whether express or implied, including implied warranties of satisfactory quality, fitness for a particular purpose, and non-infringement.

AI-generated suggestions may be inaccurate or incomplete. You should review them before relying on or sending them.

12. Liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.

Subject to that, and because Sy-nc is supplied for business use:

You are responsible for keeping your own records of business-critical information.

13. Changes to these Terms

We may update these Terms from time to time. We will post the updated version here and revise the “Last updated” date above. If a change materially affects your rights, we will notify you within the Service or by email before it takes effect. Continuing to use the Service after that means you accept the updated Terms.

14. Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
